Here with GroupTools, you will have the ability to message a single person or an entire group of attendees based on their status. Below we will go over the different ways you can view and send messages.
Viewing Your Messages
There are a few different ways to view your messages that you have received and sent. The easiest way would be to click the envelope in the upper right-hand corner of any page you are on within GroupTools.
Another way would be to access the ‘Menu’ tab in the upper left-hand corner and choose “Messages”. This will enable you to view all your messages as a group leader for all the events that you are involved with. When you open your messages tab, it will default to your received messages or your Inbox. If you wanted to view messages you have sent, simply click the tab that states ‘Sent items.
If you are only looking to view a preview of the messages received, you can access that event by clicking “View Details” from your Dashboard and once you are on the “Event Overview” page, you can scroll down to “Event Related Messages” on the right-hand side of the page. To view the full message, please follow the instructions above.
You can also go into the "Event Overview" page and click "Event Related Messages" on the right-hand side of the page. By clicking on that it will open your messages specifically to the event you are viewing. You will be able to view the subject of the message. Click anywhere within that line and you will be able to open, read, and reply to the message.
There are a few different ways to send messages depending on who you would like to send to. One of the ways for example is if you would like to send a message to the entire group of guests whom you had invited, at the top of the screen, there is a box labeled “Invited”. You can click the envelope that appears in this box. That will enable you to send a message to the entire group. The same process goes for both “Accepted”, “Tentative”, and “declined”.
You can also send messages to one specific member at a time if you choose. To do this, you would access the “Attendees” accordion on the right side of the Event Overview page. Next to each guest there is a drop down arrow. By clicking the arrow, it will give you the option to update their status or message.
Each person that you have sent a message to has the ability to personally reply to your message. The messages received would appear in your messages tab from the menu.
If you want to send a message to a specific group of people, once in your “Attendees” accordion, you can click on the check mark for each guest you would like to send a message to. Once you click a check mark, this will open up the bulk actions at the top of the panel, click send message and it will send a message to each person chosen.
Responding To Messages
When you open your received message from the messages tab or the envelope, you will have the option to reply to the guest who sent you the message directly by clicking Reply.
